Charter bus itinerary template for one vehicle

What these trips cost and how the number is built. Nothing is averaged from data we do not have.

Price shown before you commit, confirmed before you pay.

Trip type

Estimate. We confirm the vehicle, the operator’s minimum hours and the exact price with you before you pay.

A usable charter bus itinerary gives the driver one ordered timeline with exact addresses, safe loading instructions, passenger counts, wait periods, coordinator contacts, and a final release time. Do not write only “hotel to venue.” List each stop and state whether the vehicle waits, parks, leaves, or returns. GoBussin’s initial scope supports one vehicle, so the schedule must not require two groups to move at the same time.

One-vehicle conflict test

Test Pass condition
Capacity The largest simultaneous passenger count fits the confirmed vehicle.
Timing One stop finishes before the vehicle is needed elsewhere.
Access Every site confirms an entrance or legal loading point that fits the vehicle.
Waiting The itinerary states where the vehicle waits or parks.
Release The carrier has one clear end time and location.
Driver plan The carrier approves the complete duty schedule.

FMCSA says passenger-carrier drivers may drive no more than 10 hours after eight consecutive hours off duty and may not drive after 15 hours on duty after that rest. The carrier must evaluate the driver’s actual record. Your itinerary supplies the times; it does not make the compliance decision.

Quality check before sending

  • Use street addresses, not venue names alone.
  • Use one time zone and include the date when the trip crosses midnight.
  • Separate “vehicle ready” from “bus departs.”
  • Include loading and unloading time.
  • State whether luggage or equipment stays aboard.
  • Attach airport or venue instructions from the official source.
  • Give changes to the carrier in writing and get a revised confirmation.

Limitations

This template does not reserve a bus, calculate traffic, approve driver hours, or guarantee access. It does not support a multi-vehicle or multi-day plan. Use trip hours and budget, bus size by passengers, quote comparison, or the wedding shuttle planner for the next decision.
