Trip type

Estimate. We confirm the vehicle, the operator’s minimum hours and the exact price with you before you pay.

You want to know roughly how many hours your trip will take to price, and what that might mean per person in your group. This tool is not a quote. It adds up the pieces of your itinerary into total billable hours, then helps you estimate a per-person budget from either your own total or a labeled public rate range.

Inputs

  • Pickup time and location
  • Drive time to each stop (you estimate, or use a mapping tool)
  • Waiting time at each stop
  • Return drive time to your final drop-off
  • Empty travel: any driving the vehicle does without your group aboard, such as returning to its base, which some operators include in billable hours

How billable hours are calculated

Total billable hours = drive time out + waiting time at each stop + drive time back + any empty travel the operator counts. The tool sums these directly; it does not discount waiting time, because the vehicle and driver are committed for that time whether or not the group is riding.

Worked example, not a price: a 40-passenger group books a same-day round trip with a stop about 20 miles away. Driving time is roughly an hour total, and the group plans 3 hours of waiting at the stop before returning to the origin. Total billable hours come to about five to six hours once the empty legs and buffer are added, even though actual driving time is much shorter, because waiting time counts the same as drive time.

Per-person budget estimate

Enter your own total trip budget and passenger count, and the tool divides one by the other for a per-person figure. Without a total, apply a labeled public hourly range instead: BusBank's published motor coach rate is $950 to $2,000 for a 4 to 8 hour booking, and its sprinter van rate is $600 to $1,800 for the same window (both BusBank, accessed 2026-09-16). These are BusBank's published ranges, not our price, shown only to sanity-check a budget before you request your actual trip.

Gratuity

Driver gratuity is customary but not fixed by us. Industry guidance commonly cited by charter operators runs 10% to 20% of the total trip cost, with the higher end more common on longer or multi-day trips (National Charter Bus, accessed 2026-09-16). Add a line for gratuity in your budget planning; the exact amount is between you and your driver, not a fee we set.

Test cases

  • Airport transfer, 45-minute drive, no stops: hours reflect drive time only, subject to any operator minimum (BusBank's own brackets start at a 4-hour block, cited above, as a reference point, not our minimum).
  • Round trip, 20-minute drive out, 2 hours waiting, 20-minute drive back: about 2 hours 40 minutes before any minimum applies.
  • 40-passenger day trip, 1 hour driving, 3 hours waiting: about 4 hours of ride and waiting time; add the empty legs and buffer for the billable block, as in the worked example.
  • Per-person budget: $1,400 entered for 35 passengers gives $40 per person, before gratuity, tolls, or parking.

  • Why does waiting time count the same as driving? The vehicle and driver are committed to your trip during a wait just as during a drive.
  • Can I use this without an exact route yet? Yes, use rough estimates for planning; your actual price is based on the real itinerary in your request.
