Wedding Shuttle Schedule Worksheet for One Bus

Party bus by the hour, or a bus with a driver for a local trip, an airport run or an event, in ten US metros.

Price shown before you commit, confirmed before you pay.

Trip type

Estimate only. No provider or vehicle is assigned yet. We check availability and send a written quote before you pay.

Build the schedule backward from the time each guest wave must arrive. Add boarding, travel, unloading, the empty drive back and a buffer before the next wave leaves. If the bus cannot return in time, move a departure earlier or combine waves that fit. You will have a timetable you can give the venue and the bus operator, rather than a list of hoped-for pickup times.

Decide who must ride on each run

Count riders by departure, not by the full wedding guest list. The largest group aboard at one time sets the seating need. Use the bus sizes guide to prepare the request. Add mobility aids, strollers and luggage to the load description. Assign one person to each departure point to count guests and tell the organizer when boarding is complete. Decide where a late guest goes before the first bus leaves.

The wedding shuttle service page explains the one-bus offer and the basic loop calculation.

Copy the run sheet

Use one row per physical movement. Enter the real addresses and local times before you send it. Use “not confirmed” for a loading point or return route that the venue has not approved.

Run Riders and bags Board at Leave at Arrive by Unload until Bus next goes to Next ready time
Hotel to ceremony, wave 1
Empty return for wave 2 No guests
Hotel to ceremony, wave 2
Ceremony to reception
Reception to final drop-off

Check each pair of rows: next ready time must be earlier than the next required boarding time. Check that every passenger wave fits the offered vehicle. Include the empty return to the next pickup. A tight schedule needs a larger buffer or an earlier first run.

For a hypothetical timing test, boarding takes 10 minutes, the drive takes 20, unloading takes 10, and the empty return takes 20. That cycle is 60 minutes before a buffer. A second wave that starts boarding 45 minutes after the first cannot use the same bus under that schedule. Move its start or revise the waves.

Get the venue and driver checks

Ask the wedding venue to mark four points on your run sheet: the bus entrance, guest unloading point, place the bus may wait, and final pickup point. Ask who approves access, whether a pass or fee is needed, and when the loading area closes. Give the operator the venue contact and the approved route. This avoids sending guests to one door while the bus is directed to another.

Give the operator the full first-pickup-to-final-drop-off window. The FMCSA passenger-driver summary describes limits on when a driver may drive. Ask the carrier to check the applicable rules against the run sheet. Ask how a late reception would change the return time and price.

Send one clear request

Start the same-day wedding shuttle request with the first pickup, venue, return time and largest passenger wave. Add the run sheet in the itinerary details. GoBussin can review one local vehicle on one same-day itinerary, not a fleet. A modeled trip can show a planning estimate; other cases need human price review. A person confirms the operator, access needs and written total before you accept or pay. A request does not reserve a vehicle.
