How to plan your group bus itinerary

You are organizing a group trip and need to turn a rough idea (get everyone from A to B, or out and back for the day) into a concrete itinerary you can request a price for. This guide walks through the pieces that matter, in the order they usually come up.
Start with the shape of the trip
Decide first whether your trip is a one-way transfer, a round trip with a wait in between, or a multi-stop loop (like a wedding running between hotel, ceremony, and reception). The shape determines which service page to use: airport transfer, wedding shuttle, corporate and event transportation, or day trip round trip.
List every stop, in order, with addresses
Write down every place the vehicle needs to be, in the order it needs to be there, with a real address for each one. Vague stops ("somewhere downtown") slow down pricing and planning; a specific address lets us plan the route and check any local access rules ahead of time.
Give each stop a real time and a real waiting duration
For each stop, note the time the vehicle needs to arrive and how long it should wait there before moving on. Waiting time is not free time for the vehicle; the driver and vehicle are committed to your trip during a wait the same as during a drive, so it is counted in your total operating hours. Account for the driver's legal working hours
Federal rules limit how long a passenger-carrying driver can drive and work in a day: a driver may drive up to 10 hours after 8 consecutive hours off duty, and may not drive after being on duty 15 hours following that off-duty period (49 CFR 395.5, via the Federal Motor Carrier Safety Administration, accessed 2026-09-16). This is why a very long day, especially one with a lot of driving plus a lot of waiting, may not be possible to run with a single driver; if your itinerary is close to these limits, mention the full day's plan when you request so we can confirm what is possible.
Count passengers and luggage honestly
Use your largest single-wave headcount, not your total guest list, if people travel in separate groups. Note luggage type and volume, especially for airport runs where every passenger may have a checked bag; luggage volume affects which vehicle class fits. Note your return needs, if any
If your trip is a round trip, decide when the return leg starts: right after the group is ready, or at a fixed time regardless of readiness. Both are workable, but the answer changes how the waiting time is counted.
